We’re looking for a Finance Administrator/Office Manager to join Team True.

About the role
You will work as part of the Agency Operations team. The varied role breaks down into the following four areas:
 
All things financial…
  • Supporting finance controller – managing all incoming invoices (contractors, bought-in services, all office costs, purchases), employee expenses, and ensure coded appropriately.
  • Responsibility for company credit card. Ensure all purchases are authorised.
  • Ensuring POs raised for all purchases.
  • Managing database of contractors – with respective practice leaders. Ensuring contracts are prepared to brief for all contractors prior to contract start – and signed contracts secured
  • Managing contractor spend forecast.
  • Chasing aged debt.
 
Front of house/PA
  • Welcoming our client and visitors.
  • Distribution and dispatch of mail, parcels etc.
  • Meeting room prep and refreshments/lunches.
  • Purchase of fruit, drinks for all staff etc.
  • Organising travel/accomm, supporting organising agency events, booking meeting rooms off-site.
 
Office Management
  • Keeping the place looking good…esp meeting rooms, kitchen and break-out areas.
  • Manage relationship with suppliers, service providers, landlord comms.
  • Purchasing of office suppliers.
 
People related
  • Overseeing employer extranet.
  • Recruitment – posting of any vacancies on relevant social channels and job portals, management of incoming cv’s and candidate communication.
  • Supporting on-boarding, induction, welcome packs and leaver’s process.
  • Co-ordinating approved training and development, and all logged onto IPA CPD diaries.
 
This role offers the potential for flexi-time. We envisage this role as four days per week or circa 30 hours.
